Scannerhouse specializes in Medical Records capture for California hospitals. Its staff has many years experience in the Healthcare industry and has processed millions of medical chart pages, billing and clinical data, and insurance claims. We have developed sophisticated technology, offered in three Service Options, to provide unprecedented low cost and high quality in the process of replacing the paper filing of charts. Our processing centers are fully equipped to handle the unique, delicate nature of medical records. Our methodology includes:

  • Special Document handling: Vacuum belt transport, manual feed.
  • High Volume Scanning: High speed duplex scanners with auto contrast.
  • Forms and Image Processing: Forms recognition, Barcodes, Image enhancement, registration, HIS data merge.
  • CD ROM Publishing: Database and image preparation and publishing.

Specialty Lines - Medical Records

  • All pages are manually scanned on vacuum belt driven, duplex scanners. Automatic, friction feeders may prove inappropriate for the nature of chart records, as paper may be double fed and missed, and old, fragile sheets may be damaged. The vacuum transport delicately handles every page, also assuring flat, even camera exposure despite wrinkles and signs of aging and mishandling. Manual feeding eliminates missed pages and provides page by page visual QC.(Quality Control).
  • Duplex scanning with automatic thresholding (contrast, brightness, focus) guarantees maximum image quality despite variations in colored backgrounds and weak prints or handwritten annotations.
  • Blank page detection: duplex scanners produce pages which are not always obviously detectable as blank. Our methodology deskews, heavily despeckles and crops the image before testing its compressed size. The transformed image is never kept, it is only used to safely determine if it is blank.
  • Auto-rotation: Based on image contents and certain parameters like lower case descenders, etc. a determination is made about the need to rotate the image.
  • Registration: All images likely to contain data to be recognized (OCR/ICR) are registered against borders to enhance zoning accuracy.
  • Image enhancement: Cropping, deskewing. If necessary, low quality originals may be further enhanced using special techniques.
  • Form recognition and barcode recognition options are available to further reduce processing costs, as various chart categories and forms may be automatically recognized, reducing recurring labor expenses.
  • HIS database information, as well as clinical and financial reports may be optionally used to inexpensively enrich the retrievability of charts. It may also be used to perform analytical cross-references and studies.
  • Form recognition and barcode recognition options are available to further reduce processing costs, as various chart categories and forms may be automatically recognized, reducing recurring labor expenses.
  • Distribution: Fully self-sufficient, retrievable CDs containing images, indexes and search/view/print/fax software are distributed.

Service Options - Medical Records

Scannerhouse's Medical Records Capture service is offered in three options:

  • Off-site capture: Your paper charts are shipped to our facility in lots which may range from a few boxes to entire storage rooms at a time, according to your delivery and space constraints and requirements. We will perform all scanning, indexing, QC (Quality Control) and publishing at our plant and regularly deliver finished, retrievable CD ROMs to you. We offer a 24 hours a day hotline to satisfy any request to pull a document not yet delivered in CD format.
  • On-site capture: We post equipment and staff at your facility for the duration of the capture process. Only electronic images, not original paper charts, leave your premises for the purpose of completing the processing and publishing cycle. Very strict QC (QUALITY CONTROL) and confidentiality procedures are enforced.
  • Facilities Management: The entire process is performed at your site. No paper charts or electronic images ever leave your premises. Options available include: Our staff or yours, lease, rent, purchase, buy-back, and obsolescence guarantee.
